What AI Consultancy Actually Looks Like (From a Studio That Does It)

AI consultancy has become a buzzword. Here's what it means in practice, what we actually do when a client asks for help with AI, and how to tell if you're ready for it.

There's a lot of noise around AI right now. Every consultancy seems to have an AI offering, and the pitch is usually some version of "transform your business with the power of AI." We think there's a better way to talk about this.

We've been building and deploying AI tools for clients for a while now. Here's what that actually looks like in practice, and how to figure out whether it makes sense for you. If you want a broader view of where AI is headed in business, we've also written about the trends we're watching.

What we mean by AI consultancy

When a client comes to us asking about AI, the first thing we do is listen. We want to understand their workflows, their pain points, and where their team is spending time on work that feels repetitive or manual. We're looking for the specific places where AI could make a real difference, not the places where it sounds impressive.

Most of the time, the opportunity isn't some dramatic transformation. It's finding the handful of processes where AI can save real time and then building something that actually works within their existing setup. A well-placed AI tool that saves your team five hours a week is worth more than an ambitious AI strategy that never gets implemented.

The kinds of problems we solve

Here are some examples from real projects. These give a better sense of what AI consultancy looks like day to day than any abstract framework would.

Internal knowledge tools

One of the most common requests we get. A team has documentation, SOPs, policies, or training materials scattered across different systems. People spend time hunting for answers or interrupting colleagues because nobody knows where the right document lives.

We typically use tools like OpenAI, LangChain, and Pinecone, depending on what the project needs. But we're not wedded to any particular stack. The choice depends on the problem, the data, and how the tool needs to integrate with your existing systems.

Once the prototype proves the concept, we integrate it properly, test it thoroughly, and make sure your team knows how to use it. We also set up monitoring so you can see whether the tool is actually delivering value over time. If it's not performing, we want to know about it early.

How to tell if you're ready

AI works best when you have a clear problem, some data to work with, and a team that's open to changing how they work. You don't need a massive dataset or a dedicated AI team. You just need a specific use case where the ROI makes sense.

Good signs you're ready: your team is spending significant time on repetitive, pattern-based work. You have documents or data that people need to search through regularly. You're processing high volumes of similar requests or inputs. These are all areas where AI tends to deliver quick, measurable returns.

If you're not sure whether AI is the right move, that's a perfectly fine place to start the conversation. We'd rather help you figure out that you don't need it yet than sell you something you're not ready for.

What to watch out for

Be wary of anyone who leads with the technology rather than the problem. If a consultancy is pitching you "an AI solution" before they've understood your business, that's a red flag. The technology should serve the outcome, not the other way around.

Also be realistic about timelines. A well-scoped AI project can deliver value in weeks, but "transforming your entire business with AI" is a multi-year journey that most organisations aren't ready for. Start small, prove the value, and scale from there. The companies getting the most out of AI right now are the ones that started with one focused project and expanded once they saw results.
